To-Do Delegation


If you are on leave or away on business and unable to handle workflow tasks in a timely manner, you can assign a delegate. During the specified delegation period, any new approval or filling in steps assigned to you will automatically be forwarded to the designated delegate, ensuring continuous business operations.

  • Only approval and filling in tasks are delegated. CC (carbon copy) notifications are not supported.
  • Only workflows initiated during the delegation period will be delegated.
  • You can assign multiple delegates, each responsible for workflows in different applications.
  • Every user in the organization can configure their own delegation.
  • Organization administrators can configure delegations on behalf of users.

Personal Delegation Settings

1. Add a Delegate

On the homepage, click the To-Do button to open the workflow to-do page. Then, click the Delegation icon in the upper right corner.

2. Configure Delegation

Select your organization, assign a delegate, specify the delegation time range, and select the scope of applications. Click Confirm to save.

The delegate will receive a notification of the delegation assignment.

3. Delegation Effects

Once delegation is configured, any new workflows assigned to you during the delegation period will be directly assigned to your delegate. You will not receive notifications. The task will indicate "delegated by [your name]."

This applies to both approval and filling in actions.

After approval, the workflow history will show who delegated the task.

4. End Delegation

Administrator Delegation Settings

Organization administrators can go to [Org Admin] > [User] > [To-Do Delegation] to set up delegations for employees.

Delegations added by users themselves will also appear in the delegation list. Admins can modify or terminate any delegation within the organization.
